Office Administration Apprentice

Job Description
Location: Ysgol John Bright, Maesdu Rd, Llandudno, LL30 1LF
Hours: 30
Contract: Term time
Salary: £8.60p.h
Under the instruction/guidance of senior staff, provide routine general clerical, administrative and financial support to the school.
Duties include:
Admin Responsibilities
- Support reception with answering calls from parents and forwarding them on to the relevant departments.
- Send out schoolcomms / ClassCharts messages to parents where required.
- Issue lunch vouchers to pupils who require emergency lunch vouchers.
- Monitor first aid supplies around the school and reorder where necessary.
- Check the accuracy of any timesheets which have been submitted in the month
- Support in collating information where a subject access request has been requested.
- Support departmental printing when staff are absent.
- Learn to support with updating relevant marketing materials such as open evening booklets and prospectus.
Finance Responsibilities
- Set up school trips on parent pay and monitor payment progress. Where needed chase any outstanding payments.
- Monitor and track outstanding lunch money vouchers.
- Support with the reconciliation of school fund.
- Undertake any journals which could be required i.e internal printer recharges.
- Support with year processes such as updating asset registers.
- Reconcile any receipts for expenditure on the credit card.
- Process invoices in time for the weekly payment run ensuring suitable authorisation has been obtained.
Training
- Complete all coursework on time for the Level 2 Business Administration Apprenticeship.
- Complete all necessary internal training and remain up-to-date on the school policies.
- Undertake on the job training regarding specific finance packages as well as other Google and Microsoft suite packages e.g Docs / Sheet and Powerpoint.
General
- Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection and report all concerns to an appropriate person.
- Contribute to the overall ethos/work/aims of the school.
Attend and Support in relevant meetings as required.

As part of this apprenticeship, the successful candidate will undertake a structured training programme that includes:
- On-the-job training – gaining practical experience within a school setting.
- Off-the-job training – attending sessions covering safeguarding, behaviour management, child development, and learning strategies.
- Regular assessments and feedback to track progress and improve skills.
- Additional learning support, particularly in literacy, numeracy, and communication.
