Job Description
Location: Flint High School | Ysgol Uwchradd y Fflint, Maes-Hyfryd, Flint, CH6 5LL
Subject: Office Administration Apprentice
Hours: 37 hours 08:30-16:30
Contract: Term time
Salary: £8.60p.h
We are looking to recruit an office admin apprentice to work alongside experienced office staff and receptionists to provide routine general clerical, administrative and financial support to the school.
Duties include:
Undertake the following duties:
- Maintaining office systems, including data management and filing
- Be directly involved in the preparation of meetings and events
- Answering phone calls
- Meeting and greeting visitors
- Organising and Managing diaries.
- Provide general office support to Head Teacher, Business Manager and Teachers
- Organising and attending meetings.
- Screening telephone calls, enquiries and requests, and handling them when appropriate.
- Taking minutes
- Liaising with clients, suppliers and other staff
- Maintaining school online systems
Essential Criteria:
- Support Data and Exams Manager to analyse, prepare and report on data as required
- Inputting new/leaver students
- Inputting new/leaver staff
- Processing amendments to staff / student data
- Chasing and tracking data (working to a planned timetable of data capture)
- Maintain timetable / student curriculum
- Processing room change requests / bookings
- Run annual reports procedure
- Year 7 data sheets checking and inputting to SIMS
- Support parents with app access and admin (ie schoolcomms)
- Print out student results
- Support the effective operation of CATs (Cognitive Ability Testing) schedule
- Set out exam rooms with student data and exam regulations etc
- Training and supporting staff on software application ie SIMS / Classcharts
- Create exam marksheets
- Manage & process 6th Form Student Data
- Assign ULN’s (Unique Learner Numbers)
- Coordinate exam attendance absence calls
- Support recruitment process for Exam Invigilators
- Reception cover to include lunch cover and end of day support
- The use of General Data Protection Regulation (GDPR)

As part of this apprenticeship, the successful candidate will undertake a structured training programme that includes:
- On-the-job training – gaining practical experience within a school setting.
- Off-the-job training – attending sessions covering safeguarding, behaviour management, child development, and learning strategies.
- Regular assessments and feedback to track progress and improve skills.
- Additional learning support, particularly in literacy, numeracy, and communication.
